Never allow a software vendor to write an RFP on your behalf or accept a “standard” RFP to use.

Selecting a DCIM Software provider is a difficult, time consuming, and often a complicated process. Early mistakes can become very costly. The last thing you want is a product that makes life difficult. The end goal should be an easier way to document, manage and monitor your critical IT facilities.

The first step should always be an internal analysis to determine the minimal viable solution requirements. The “nice to haves” should also be considered.

The second step is to create a formal RFP to communicate your organizations requirements clearly. It’s important to avoid hidden agendas and never allow a software vendor to write an RFP on your behalf or accept a “standard” RFP to use. Remember that the requirements should always be specific to and written by your organization.

Investing in a high-end DCIM solution with every feature is like buying a corporate jet for a short commute.

Evaluating responses to your RFPs is the next critical step. It is very common for vendors to offer demonstrations of their software. Typically, these are fast paced, high level, flashy video conferencing call presentations. Flashy might look great at first, but how many of your needs do those flashy features meet?

It’s important to carefully evaluate a DCIM vendors answers to your questions. This interaction sets the stage for what to expect from a vendor. Additionally, are the DCIM vendors spending time with your team learning about:

  • Your requirements
  • Your infrastructure
  • Your facility

Your internal team should spend the appropriate amount of time evaluating vendor responses:

  • Are they showing you canned remote demos or demos specifically targeted to your requirements?
  • Are the responses to your requirements specific or ambiguous?
  • Do demos or responses to your specific requirements seem like vaporware or smoke-and-mirror demos?
  • Are you buying on the promise of future product features?
  • Do you fully understand what you’re buying and the costs beyond the initial implementation?

Aside from the licensing, installation, services, training, and support cost of the DCIM software, consider the cost of hardware, server related software and supporting systems.

Training is another important aspect that should not be overlooked. Are you fully aware of the burden on your team for the journey you are about to embark on?

Investing in a high-end DCIM solution with every feature can be like purchasing a corporate jet when all that’s needed is a short commute. Beyond the initial expense, the ongoing maintenance and support can add significant cost.

The key is to focus on a solution that makes it easier, not more difficult, to manage your data center infrastructure.

Don’t try to boil the ocean.

Understanding the various facets of implementing a DCIM solution is critical to the success or failure of the project. Failure to carefully plan a step-by-step DCIM implementation can result in additional expenses, delays and frustrations. Don’t try to boil the ocean.

Staying focused on an implementation plan is essential to a successful DCIM deployment. A DCIM implementation project is dependent on the quality of information that is imported. That old saying “garbage-in, garbage-out” is what needs to be avoided.
